SwimKapiti Policies
Find out about payments, missed lessons, withdrawing from courses and other SwimKāpiti terms and conditions.
School holiday lessons
- Full payment must be made at time of booking.
- These lessons are not inclusive of the free swims outside of lesson times.
- Credits for missed school holiday lessons will only be given when SwimKāpiti has cancelled your lesson.
Term-time based lessons
Free swims for students
All students enrolled in SwimKāpiti term-based lessons can swim and use the slide at any Kāpiti Coast District Council pool for free outside of lesson time – students must use access tag provided for entry or check in via reception.
Students must still have the relevant supervision and/or slide bands.
Normal pool entry fees apply for events.
Enrolment
You’ll be continuously enrolled until you no longer require swimming lessons (auto rollover). These swim lessons do not run during school holidays.
We encourage you to use the online portal to enroll in SwimKāpiti term time lessons. You’ll complete a direct debit form when you enroll online.
Enrolment can also be done at Reception with a paper copy of the direct debit authority.
Payment
Lesson fees are paid via a fortnightly direct debit.
Your enrolment must be linked to a valid direct debit, as it is essential for enabling the convenient online booking system and automatic lesson rollover features now offered.
Update as of 1 July 2026:
You can choose to load credit onto your account in advance, although a valid direct debit will still need to be set up to start your enrolment.
Your weekly lesson fees will automatically be deducted from this credit balance, instead of being taken from your bank account or credit card.
You can pay up to one full term in advance.
If there is no credit available, your enrolment will continue as normal and payments will revert to your regular direct debit setup. You will not receive alerts when you credit is running low. Your credit balance can be checked via Reception.
You can load credit on to your account at Reception using cash, Eftpos, or credit card (including over the phone).
About Direct Debits
SwimKāpiti uses EziDebit as their direct debit provider.
EziDebit are Payment Card Industry (PCI) security standard compliant.
Your transaction will display in your bank statement as Ezi*Health & Fitness.
Once you or your child is enrolled, the lesson fees will be continuously processed by fortnightly direct debit on a Monday.
You can choose to set up your direct debit with a credit card, debit card or bank account.
There will be one direct debit payment per child enrolled.
If a lesson falls on a public holiday, your direct debit will automatically reflect this – you won’t be charged for the lesson.
Direct debits are automatically suspended over school holidays.
Failed payments: We will message you if your payment fails. You will need to make a catch-up payment either online via the portal or at reception. A failed direct debit will incur a bank fee of $5.50 collected by the direct debit provider. This fee does not go to SwimKapiti and can not be refunded.
Where payment is not made, the Customer agrees to pay the Council all costs and expenses (including debt collection fees or legal fees), incurred by the Council in seeking to recover the overdue amount.
SwimKāpiti lesson fees are set by Kāpiti Coast District Council. The Council may increase the fees payable provided that you have been given 60 days’ written notice of the increase. Enrolment fees include the transaction fee charged by EziDebit for this service.

Missed lessons and credits
If a lesson is missed, you cannot make up the lesson at another time.
Credits will only be given for term-based lessons when:
- SwimKāpiti cancels your lesson for any reason,
- A medical certificate is provided for days missed due to illness.
The credit will be applied to your SwimKāpiti account and used for future direct debit payments. No refunds are available.
Withdrawing from a course
If you want to withdraw from a course, email [email protected]. We require 14 days’ written notice before your next direct debit payment. We will cancel your place in the course and your direct debit and acknowledge your email and confirm withdrawal via email within 3 business days. If you have not received acknowledgement of withdrawal, it's unlikely we have received your email. Please follow up with a phone call on 042964746.
Only withdrawals requested and received in writing by SwimKāpiti will be processed. You will be liable for any lesson fees incurred when withdrawal from lessons is not received.
Non-attendance of classes for three months (excluding school holiday periods) may result in your enrolment being withdrawn from the SwimKāpiti programme. A notice of at least two weeks will be given by SwimKāpiti prior to withdrawal.
General
Changes to class schedule
The SwimKapiti timetable is subject to change due to instructor or pool space availability, or when the minimum capacity of a class is not met.
We aim to provide a minimum of 24 hours' notice and where possible, suggest an alternative class time.
Where this is not possible, we will provide a credit.
Swim Nappies
All children who are under four must wear an aqua nappy while in the pool (regular nappies are not to be worn).
Medical information
You are asked to notify the SwimKāpiti team if there are any medical conditions or disabilities relevant to their swimming lesson that we need to be aware of before start of lessons.
Photos and filming during lessons
Photos and videos of your dependent must not include other students or instructor without permission.
Promotion and social media
By enrolling into SwimKāpiti you or your dependent may be used to help promote the swim school via video, social media and through our websites. If you do not want you or your dependent to appear in any promotional photographs and material, please let our staff and your swimming instructor know.
Refunds
Refunds of credits are only given if:
- you’re moving out of Kāpiti
- you or your child are not returning to lessons after 3 months
- Kāpiti Coast District Council deems it appropriate to refund the credit at Managers discretion.
To request a refund email [email protected]. A bank supplied proof of bank account may be requested as per Kāpiti Coast District Council policies.
Spectators/Parents/Guardians
Children under eight cannot be left unattended during lessons. They must be actively supervised by a caregiver 16 years or over.
Additional children or adults who intend to conduct self-focused activities such as lane swimming are required to pay normal pool charges.

Privacy statement
Personal information collected about you will be used for the administration of SwimKāpiti only. All information will be held by SwimKāpiti and Kāpiti Coast District Council. You have the right under the Privacy Act 2020 to obtain access to, and request correction of, any personal information held by SwimKāpiti. For further information, see our privacy statement.
Council policies
By enrolling in SwimKāpiti you are agreeing to abide by any rules and policies of SwimKāpiti, the swimming pool and Kāpiti Coast District Council.
SwimKāpiti reserves the right to remove or suspend any participant whose behaviour is unsafe, disruptive, or non-compliant with pool or programme rules. No refunds or credits will be provided in these circumstances.
Legally binding Agreement
This Agreement is legally binding when enrolling in SwimKāpiti lessons.
Changes to this Agreement
SwimKāpiti reserves the right to make changes to this Agreement from time to time. Where SwimKāpiti reasonably believes such a change will materially negatively detriment your rights under this Agreement (unless the change is required by law), we will offer you the right to cancel this Agreement.
